Staff - Issue Staff & Vendor Keys

User Type Restrictions

  • Property Manager user type- No restrictions/full access

  • Staff user role type- Can assign keys to other staff member user typers, maintenance, and vendors. Cannot assign keys to Property Manager user type.

  • Maintenance user role type- This view only role type will not be able assign key fobs.

Let's start out with some education about each type of key. You can also skip down to either the Staff or Vendor section to see the step-by-step instructions, depending on the user type your issuing keys to.

  • Key fob- This is a physical key fob with a badge ID. One key fob can be programmed to allow access to multiple units.

Community staff and vendor users are limited to 3 key fobs.

  • BLE key - This is a Bluetooth key that lives on the IoT Admin App. It communicates with smart locks in the traditional way--through the patented Quext IoT thermostat hub.

  • Virtual key- This is a “Bluetooth” key that allows access to a unit by communicating from the IoT Admin app directly to the door lock. A virtual key is similar to the BLE key, but it bypasses the communication with the thermostat hub. It is the recommended choice for Community Staff. It is not currently available for vendors.

There is no limit to the number of units that can be assigned to a virtual key!

  • PIN code - Only for communities that use a lock with PIN codes, usually a 5-digit code.

  • Remote key - This key allows for the resident to provide their guests remote access to their assigned locations.

  • Gate tag - Only for communities that use gate tags that allow for access into areas like a garage, general community areas, etc.

Staff Keys

  1. From the Staff page, choose the desired staff member.

  2. Click the three-dot menu, then choose keyring.

  3. Click the three-dot menu, and choose key management.

    1. This page will show all the active keys currently issued to this user.

Issue keys by doing the following, based on the type of key(s) needed (this will differ based on what is offered at your Community):

  1. Fob - search for and select the fob’s badge ID, limited to 3 key fobs.

  2. Bluetooth key - toggle on ble keys.

    • This is the resident's mobile key on their Quext phone app.

  3. PIN code - toggle on pin code.

    • Only for communities that use a lock with PIN codes.

  4. Remote key - toggle on remote keys.

    • This key allows for the resident to provide their guests remote access to their assigned locations.

  5. Gate tag - search for and select the correct gate tag number.

    1. Only for communities that use gate tags.

  6. Select save.

If you don't see the type of key that you're looking for, please reach out to your Customer Success Manager.

For lock only communities (those without a Quext thermostat), you will only use fobs and Bluetooth keys. You will also be required to sync each lock after a key has been issued to that location. Vendor Keys

FYI: Vendors primarily can only use key fobs, but they can also download and log into the Quext IoT Resident app, if they'd like to use a mobile bluetooth key or a PIN code (for select types of locks). Just be sure that ble key and/or pin code is toggled on.

  1. From the Vendor page, choose the desired vendor.

  2. Click the three-dot menu, then choose keyring.

  3. Click the three-dot menu, and choose key management.

    1. This page will show all the active keys currently issued to this user.

  4. Issue a fob by searching for and selecting the fob's badge ID. There is a limit of 3 key fobs.

  5. Click save.

For lock only communities (those without a Quext thermostat), you will only use fobs. You will also be required to sync each lock after a key has been issued to that location. Follow these guides to learn how to perform a sync from the app(s): Admin App Sync, Resident App Sync
