Staff - Manage the Integration Queue

The Integration Queue keeps Quext in sync with your Property Management System. Think of it as your action list for reviewing and processing resident and lease events. When an item appears in the queue, it means something needs your attention to ensure both systems match.

A healthy Integration Queue is an empty one. Review items regularly, complete required actions, and rely on automation settings where possible.

Key Areas of the Integration Queue

Events Queue

Where important actions appear, such as move-ins, move-outs, lease modifications, lease archiving, and resident invitations. These items typically require review or completion.

Log

A record of actions that have already been executed. Use this to verify history or troubleshoot.

Location Changes

A development tool not used during daily operations. You can safely ignore this section.

Executing Events

When you see an action in your Events Queue, you'll have two options:

Apply vs Skip

These actions determine how items are cleared from your queue.

Apply

Use when the action still needs to be executed.
Example: A resident has not yet been invited to Quext.
Clicking Apply processes the event (such as sending the invitation).

Skip

Use when the action has already been completed or is no longer needed.
Example: Duplicate data sent from your PMS.
Skipping clears the item, and it will fall off the queue in time.

Note: In most situations, you do not need to use Skip unless the PMS has already handled the event.

Integration Queue Settings

You can access Automation Settings by selecting the three-dot menu in the Integration Queue. Here, you can decide which actions should happen automatically instead of manually. When you select Auto-apply following events, your PMS will automatically send this information to Quext — no extra clicks needed!

Resident Automations

Resident Creation

Automatically sends new resident info. from your PMS to Quext.

Resident modification

Updates Quext when a resident’s info (like phone number or name) changes.

Resident Deletion

Deletes the resident from Quext after they have been deleted in your PMS.

Resident Invitation

Automatically sends a Quext invitation so residents can set up their accounts before move-in.


Lease Automations

Lease Creation

Sends the lease from your PMS to Quext.

Lease Modification

Appears when a lease is updated in your PMS. Examples:

  • Renewals

  • Name or email changes

  • Date changes
    No action is needed. Quext updates automatically.

Lease Archiving

Occurs after a completed move-out. The lease automatically moves to archived status. No action required.

Move In

Grants residents access to their locks and connected devices.

Move Out

Remove access once resident has been moved out.

Enable all automations to save time and reduce missed steps.

One-Way Sync Reminder

Data flows from your PMS to Quext, not the other direction.


The Sync Button

The Sync button pulls in new data from your PMS and populates your Integration Queue.

This is especially helpful during onboarding when first connecting your systems.

Note: Pressing Sync does not create a record or log entry — it simply refreshes the data from your PMS.

The Integration Queue is your central tool for keeping Quext aligned with your PMS.
Use it to monitor syncing events, complete move-ins and move-outs, issue keys, send resident invitations, and maintain accurate lease and resident data. Lean on automations to streamline your workflow and reduce manual steps.
